Bulk Product Upload: Migrating Thousands of Products from Excel, CSV and PDF to Trendyol, Hepsiburada, Amazon and Etsy

Y ou have a spreadsheet with thousands of rows, a supplier CSV, or a price list that only exists as a PDF. You want those products live on your own store, on Trendyol, Hepsiburada, Amazon or Etsy. Entering them one by one takes weeks; copy-pasting into templates ends in error reports. This article explains how bulk product upload works on marketplaces, where it usually breaks, and how thousands of products can go live without errors once the data is prepared properly.

What is bulk product migration?

Bulk product migration means taking product names, descriptions, barcodes, SKUs, prices, stock, variants and images from one source, converting them into the format the target platform expects, and uploading them in one go. The source can be an Excel or CSV file, a PDF catalogue, a supplier XML feed or an export from an old store. The target is an e-commerce platform, a marketplace or a CRM system.

It is not limited to physical goods. Digital products, licences, templates and product images can be moved in bulk the same way. What matters is that the data is cleaned and mapped to each platform's rules.

How does bulk upload work on marketplaces?

Every major marketplace offers bulk upload, but each comes with its own template and rules. Using a category-specific template rather than a generic file is the common rule everywhere.

Trendyol and Hepsiburada: category-specific Excel templates

On Trendyol, products are uploaded through the Bulk Product Operations page in the seller panel, using an Excel template downloaded for the lowest-level category. Columns with red headers are mandatory; each colour and size combination is a separate row with its own unique barcode, and variants are linked by a shared model code. Hepsiburada works similarly: you download a category template, fill it without changing headers or columns, and add images as https links rather than files.

Amazon and Etsy: different approaches

Amazon bulk listing uses an inventory file generated per product type, with tabs for instructions, data definitions and valid values. Etsy, on the other hand, has no built-in CSV import for new listings; bulk upload needs an API integration or third-party tools. The same product list has to be prepared differently for each channel.

The most common bulk upload problems

What makes bulk upload hard is not uploading the file but data that does not match platform rules. Marketplaces return error reports for faulty rows, and products can be rejected for missing attributes, invalid values or duplicates. The most common issues are:

  • Leading zeros dropped from barcodes in Excel and variants mismatched
  • Supplier categories not matching marketplace categories
  • Mandatory attributes (colour, size, material, etc.) left blank or invalid
  • Images hosted behind login-protected links or not meeting size rules
  • VAT-exclusive or foreign-currency prices converted incorrectly
  • Outdated templates used, or template columns modified
Short rule: prepare the data properly once before uploading thousands of products. Clean data is far cheaper than fixing every channel again and again. - Lumna

Data processing: the real work behind a successful migration

A fast, error-free migration depends on the data processing done before anything is uploaded. These are the steps that turn a raw list into a sell-ready catalogue:

Cleaning and standardisation

Duplicates are removed, product names are rewritten to include brand, model and key feature, and units and spellings are standardised. Tables in PDF catalogues are converted into usable rows.

Category, attribute and variant mapping

Source categories are mapped to each platform's category tree, and attributes such as colour and size are converted into accepted values. Variants are grouped correctly by model code and barcode.

Image optimisation and pricing rules

Images are resized to the required dimensions, linked to the right product and served from public URLs. Prices are calculated with VAT and margin rules for each channel.

Which platforms can products be migrated to?

  • E-commerce platforms: WooCommerce, Shopify, ikas, Ticimax, IdeaSoft and custom builds
  • Marketplaces: Trendyol, Hepsiburada, N11, Amazon, Etsy and others
  • CRM and ERP systems: connecting product and customer data with sales processes
  • Digital product platforms: licence, template and downloadable content catalogues

Off-the-shelf integration or expert support?

There are many integration tools that push products to marketplaces automatically via XML, and they work well for businesses with a tidy supplier feed. But if your data sits in scattered Excel, CSV or PDF files, if category and attribute mapping is complex, or if you want a clean catalogue on your own store and on marketplaces at the same time, the data needs expert preparation first. Ready-made tools only perform well with clean data.
